Job Summary
We are seeking a proactive and detail-oriented HR Operations Executive with 3-5 years of experience in managing end-to-end HR operations and partnering with business stakeholders. The ideal candidate should possess strong expertise in onboarding, background verification (BGV), employee documentation, induction, employee engagement, attendance and leave management, HRMS management, and HR analytics. This role requires a strong eye for detail, excellent stakeholder management skills, and the ability to leverage HR data and insights to support business decisions and enhance employee experience.
Key Responsibilities:
HR Operations & Employee Lifecycle Management
Manage end-to-end employee lifecycle activities including onboarding, confirmations, transfers, promotions, and separations.
Ensure seamless execution of joining formalities and employee onboarding processes.
Maintain accurate employee records and documentation while ensuring data confidentiality and compliance.
Manage employee data updates and records within the HRMS.
Administer and monitor employee attendance, leave management, and regularization processes in accordance with company policies.
Coordinate with employees and business managers for attendance discrepancies, leave approvals, and query resolution.
Ensure timely and accurate recording of employee attendance, leave balances, and related transactions in the HRMS.
Support payroll inputs by providing accurate attendance, leave, and employee data, when required.
Coordinate with internal stakeholders to ensure smooth employee transitions throughout the lifecycle.
Background Verification (BGV) & Documentation
Manage and track employee background verification processes through external vendors.
Ensure timely completion of BGV checks and closure of pending cases.
Prepare, issue, and maintain employment-related documents including appointment letters, confirmation letters, and other HR correspondence.
Maintain employee files and records in an audit-ready manner.
Employee Induction & Onboarding Experience
Conduct and coordinate induction programs for new joiners.
Partner with business teams and support functions to provide a seamless onboarding experience.
Act as a point of contact for new employees during the onboarding process.
Drive initiatives to enhance employee experience during the initial stages of employment.
Employee Engagement & Culture Initiatives
Plan and execute employee engagement programs, events, wellness initiatives, and recognition activities.
Support implementation of employee engagement and retention strategies.
Gather employee feedback and recommend improvement actions.
Promote a positive and inclusive workplace culture.
HRMS, Reporting & Data Analytics
Maintain and manage employee data within HRMS platforms.
Generate HR reports, dashboards, and MIS on HRMS when required.
Ensure data accuracy, integrity, and consistency across HR systems.
Support HR process automation and continuous improvement initiatives.
Compliance & Process Excellence
Assist in ensuring compliance with company policies, labor laws, and statutory requirements.
Support internal and external audits by maintaining accurate HR records.
Facilitate identifying opportunities to streamline HR processes and improve operational efficiency.
Partner in driving adherence to HR service delivery standards and timelines.
Qualifications
Bachelor's Degree in any stream. Specialization in Human Resources, Management will be preferred.
MBA/PGDM in Human Resources preferred.
3-5 years of experience in HR Operations and/or HR Business Partnering.
Required Skills & Competencies
Strong experience in onboarding, BGV, employee documentation, induction, and employee lifecycle management.
Exposure to HR Business Partnering and stakeholder management.
Hands-on experience working with HRMS platforms and HR compliance portals.
Excellent attention to detail with a high degree of accuracy in documentation and data management.
Strong interpersonal, communication, and relationship-management skills.
Proficiency in MS Excel, PowerPoint, and AI tools.
Knowledge of labor laws, HR compliance, and HR best practices.
Strong problem-solving and process improvement mindset.
